Your responsibilities:

 

  • Ensure the smooth execution of day to day administrative activities in the office
  • Office reception function - meet visitors and refer them to appropriate staff members, answer and forward phone calls, take messages, scan documents, etc.
  • Provide administrative support to staff members, as well as organizational support with company events, meetings, client visits, internal and external audits
  • Organize business trips
  • Handle communication with suppliers, stakeholders and employees via email and phone
  • Deal with overall office environment and infrastructure maintenance, housekeeping, repairs, office equipment and supplies
  • Prepare incoming/outgoing mail for distribution
  • Review, analyze and summarize offers related to the office activities; proactively search for potential improvements
  • Provide reliable and confidential secretarial and administrative support in a polite and professional manner
  • Assist with ad-hoc projects/activities and provide reliable support when required

 

Your profile:

 

  • Good English language knowledge (spoken and written)
  • Computer literacy (Outlook, MS Office - Word, Excel, PowerPoint)
  • Experience on a similar position would be an advantage but it is not mandatory
  • Very good interpersonal and communication skills
  • Ability to work independently
  • Very good organizational skills
  • Loyalty and responsibility
  • Positive and friendly attitude
